Terms of Service

These terms apply to business use of CertDone’s certificate, reminder and customer-record software.

1. The service

CertDone lets heating and plumbing businesses create records, produce branded PDFs, manage customer and property information, invite team members and schedule reminders. The subscribing business is responsible for the people it authorises to use its account.

2. Professional responsibility

CertDone records information supplied by users. It does not inspect an installation, determine whether work is safe, replace professional judgement or confirm regulatory compliance. The attending engineer remains responsible for every reading, classification, declaration and signature. Users must hold any registration, qualification and insurance required for their work.

3. Trial and subscription

New businesses receive a 14-day free trial. Unless a paid plan is selected, write access and automated sending stop when the trial ends; existing records remain available to view and export. The paid plan is £9.99 per month, excluding VAT where applicable. Stripe processes payment. Subscriptions renew monthly until cancelled through the billing portal.

4. Accounts and security

Users must provide accurate information, keep access to their email secure and notify CertDone promptly of suspected misuse. Accounts must not be shared outside the subscribing business. Owners are responsible for removing team access when it is no longer needed.

5. Customer data

The subscribing business owns and controls the customer, property and certificate data it enters. It must have a lawful basis for using that information and for sending certificates and reminders. CertDone processes that data only to provide, secure, support and maintain the service.

6. Acceptable use

Users must not misuse the service, attempt unauthorised access, upload unlawful or malicious content, send unsolicited messages, interfere with other accounts or use CertDone to create false or misleading records.

7. Availability and backups

We take reasonable steps to keep CertDone available and to create daily recovery backups, but uninterrupted service is not guaranteed. Businesses should export important records regularly and retain documents where their professional or legal obligations require it.

8. Ending an account

A business may cancel its subscription through Stripe and may export or delete its CertDone account from Business settings. Account deletion is permanent and removes accessible business data and stored files. Some limited billing or security records may be retained where the law requires it.

9. Liability

Nothing in these terms excludes liability that cannot lawfully be excluded. CertDone is not responsible for the accuracy of user-entered records, an engineer’s professional decisions, missed statutory duties or losses caused by unlawful or improper use. For other claims, liability is limited to the subscription fees paid in the 12 months before the event giving rise to the claim.

10. Changes and governing law

We may update the service or these terms and will make material changes clear. These terms are governed by the laws of England and Wales, and the courts of England and Wales have jurisdiction.
